General Info

Payment: A 50% deposit is required at the time of booking. We accept all major credit cards.
Upon receipt of your deposit and confirmation of your reservation we will send you a registration form. We ask that you fill this form out and return it to us prior to your tours departure date.
Full Payment is required 30 days before departure. For reservations made within 30 days, full payment will be due upon confirmation.

Cancellations & Refunds: All cancellations must be received in writing. Our refund policy is based on the date the cancellation is received in our office.

  • Cancellations received at least 45 days prior to the tours departure will receive a full refund.
  • Cancellations received between 45 and 30 days ahead will forfeit 50% of the deposit.
  • Cancellations received within 30 days of the tour departure will not receive a refund.

We reserve the right to cancel trips for any reason if circumstances make it necessary, in which case a full refund for monies received will be returned. If in the event that we do need to cancel, we will do our best to provide 30 days notice of cancellation to give ample time to make other travel arrangements. CycleTreks is not liable for non-refundable airplane tickets and other personal expenses incurred in preparation for a trip that is canceled. We strongly recommend cancellation and accident insurance to prevent any losses in case of illness, accident or other causes.

For trips with less than six participants registered, riders may be given the choice of switching to another guided adventure, paying a premium to keep the trip guided, or postponing your trip for up to 12 months.

Preparedness: As with any adventure holiday, there are certain risks and uncertainties, such as acts of nature and physical illness. We advise persons coming along on our holiday to adequately prepare for their outing. We recommend a reasonable preparation schedule of cycling several weeks before you arrival. No one knows your body like you do, but conditioning is beneficial. We want you to participate as fully as possible to get the most enjoyment out of your vacation. Of course, for those unexpected days when your saddle "catches fire' there is always the support vehicle where you can catch a ride and keep the driver company to the next stop.

Medical: It is wise to have a medical and physical assessment before any long distance ride or tour. Guides will have any specific medical information that is noted by the client on their registration form. It is up to the client to confirm important information with the guides' prior to departure. All medications are to be kept on your person. Guides are not responsible for the administration of your medication. Although trained in first aid, they are not licensed or authorized to administer drugs under any circumstances.

Terrain: Our converted rail-bike trails are mainly flat with no more than a 3% grade anywhere on the trail. However this is not the norm for Vancouver Island or the Gulf Islands! Although short and sweet, we are a mountainous area, and light workout hill climbs are inevitable. We cannot stress enough the importance of some pre-tour conditioning before your rides.

Accommodations: Accommodations are specially selected for each tour group and always meet our high standards for comfort. B&B's are most often used with some resort-style facilities when warranted. Whenever possible we select rooms with either queen or double beds and ensuite bathrooms. Usually there is a nice surprise to be had at all of them, be it the unbelievable scenery, the colourful innkeepers, surreal locations, or amenities. We have always had a great response to our accommodations providers and locations.

Meals: We try to accommodate everyone's different dietary needs; however, the places we visit have a restricted degree of options with regard to specific diets. There is always a vegetarian option for those inclined, and seafood is nearly inescapably on the menu at all locations.

As always, allergies and medical concerns are taken into consideration, and we recommend that riders ask at each facility what can be done to accommodate their special needs. Most restraunteurs will bend over backwards to assist you in anyway possible!

What to bring: Extra clothing like socks, shirts and riding shorts. A light rain-resistant jacket and pull over pants are ideal for the summer; heavy rain gear is only necessary for the winter. If you are caught in a short burst of rain, breathable quick dry clothing is ideal.

What NOT to bring: Your road bike, unless you plan to stick specifically to the main highway or some of the main thoroughfares. Roads are rough in some areas, especially in the Gulf Island's, where roads are narrow, old and in somewhat disrepair; hybrid bikes are recommended. MTB trail bikes are good, but may be too much in some instances unless cross-terrain tires are used.

Winter jackets and heavy clothing is not necessary, but bring something to keep warm at night when the sun goes down and the sea cools the air.refreshing! Fleece vests are ideal!

Travel Info: Although passports and visas are not required for entry into Canada passports are required for air entry and air re-entry into the United States. Beginning January 23, 2007, ALL persons, including U.S. citizens, traveling by air between Canada and the United States will be required to present a valid passport, Air NEXUS card, or U.S. Coast Guard Merchant Mariner Document,

As early as January 1, 2008, and no later than June 1, 2009, ALL persons, including U.S. citizens, traveling between the U.S. and Canada by land or sea (including ferries), may be required to present a valid passport or other documents as determined by the Department of Homeland Security.

Luggage : Space is limited so we ask that you keep your luggage to a minimum for the porters who are transferring your baggage; 2 small bags per person.
